Robert Half Project Assistant in Harrisburg, Pennsylvania

Description

The project assistant plays a vital role in supporting the project management team of a remodeling and restoration company. This position involves assisting with various aspects of residential and commercial renovation projects, from initial planning to project completion. The project assistant provides administrative support, coordinates communication between stakeholders, and helps ensure projects are completed on time and within budget.

Responsibilities:

  • Assist project manager with project planning, scheduling, and coordination of resources.

  • Maintain project documentation, including contracts, permits, drawings, and change orders.

  • Coordinate communication between project team members, subcontractors, suppliers, and clients.

  • Assist with the preparation and distribution of project status reports, meeting agendas, and meeting minutes.

  • Track project progress, expenses, and timelines to identify potential delays or budget overruns.

  • Manage project-related correspondence, emails, and phone calls, and ensure timely responses.

  • Organize and maintain project files, both digital and physical, in an organized and accessible manner.

  • Support project closeout activities, including punch lists, warranty documentation, and final invoicing.

  • Provide administrative support to the project management team, such as scheduling meetings, making travel arrangements, and preparing expense reports.

  • Perform other duties and special projects as assigned by project managers or company leadership.

    Requirements

  • Strong organizational skills and attention to detail.

  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and project management software.

  • Ability to multitask and prioritize tasks in a fast-paced environment.

  • Knowledge of construction terminology, processes, and materials is a plus.

  • High school diploma or equivalent qualification; additional education or training in project management or construction management is preferred but not required.

  • Valid driver's license and reliable transportation may be required for occasional site visits or errands.
