Akin Gump Strauss Hauer & Feld LLP is a leading international law firm with more than 900 lawyers in offices throughout the United States, Europe, Asia and the Middle East. We are currently seeking a Digital Services Specialist in the Research and Information Services department, reporting to the Digital Services Manager.

The role will reside in the Dallas office with hybrid work capabilities and will be responsible for implementing processes and procedures to collect, organize, and distribute the firm’s print and digital collection, provides necessary support for collection assessment, and assists in the deployment of information resources that support the strategic goals of the firm. As a member of the Digital Services Team, the Digital Services Specialist is expected to work towards the priorities, goals, and procedures for the team, serve as a positive role model for all department members, and uphold the standards of superior service expected by the firm’s attorneys, advisors, and staff. The Digital Services Specialist will perform all responsibilities with a commitment to providing superior service to the firm’s clients, attorneys, advisors, and staff, and maintaining an atmosphere of teamwork and continuous improvement.

Key responsibilities of this position include:

  • Ensure accurate and timely completion of daily duties and assigned projects, following all department processes and procedures.

  • Maintain the daily digital routing, to be completed by 10 am each morning.

  • Support the Digital Services Manager in managing the digital and physical collection of research resources by maintaining and receiving mail and shipments, logging subscriptions into the appropriate library database, processing desk copies, routing, and cataloging, updating MARC records, shelving of new materials, and trouble-shooting issues with print and digital collections.

  • Maintain accurate serials, catalog, circulation, and routing records.

  • Assist in off-boarding departing employees from firm resources in a timely manner by preparing DRM (Password Manager), desk copy and SydneyPlus Circulation reports. Enter the documentation into Quest and NetDocs. As directed, contact vendors to adjust user lists.

  • As directed add new contracts, edit, or close existing contracts in the SpendConnect Contracts Platform.

  • Assist Research Specialist with on-boarding new attorneys by providing an 8-week review of digital resource usage.

  • Process client billable invoices on a regular basis. Answer questions and provide cost recovery backup for research charges on client bills. Assist with invoice entry in Chrome River as needed.

  • Collect, format, and organize vendor usage data and maintain related documents in NetDocs.

  • Collect, format, organize, and complete initial analysis of Research Monitor usage data and user lists to aid in contract negotiations and renewals.

  • As directed, supply user lists and usage data to consultants who provide market intelligence and update the SpendConnect Usage Platform.

  • Ensure timely shipment of all new print materials to office libraries as required.

  • Assist the Digital Services Manager in collecting and coordinating data for use in evaluating products and services and minimizing duplication across resources.

  • Perform Research Monitor maintenance as necessary (adding resources, removing resources, and trouble-shooting issues with usage tracking).

  • Acquire new titles or renew individual digital titles paid by P-card upon request/approval of manager.

  • Assist in maintaining effective vendor relationships to ensure the firm’s standing in the marketplace.

  • Implement procedures to optimize effectiveness; ensure that all resources (space, technology, time, and budget) are used effectively.

  • Create, update and/or manage Quest tickets upon the receipt of requests from outside the department.

  • Assist with the annual budgeting process and ongoing budget-related tasks.

  • Work with the business units and practice groups as directed on projects intended to further the firm’s strategic goals and make the best possible use of firm resources.

  • Participate in training activities related to firm and department responsibilities and the effective and efficient use of research resources.

  • Provide additional support and assistance to attorneys and staff as needed.

  • Other duties and tasks assigned by the Digital Services Manager.

    Qualifications (Experience, Knowledge, Skills & Abilities):

  • High School Diploma

  • Minimum of 3 years law firm library or research center experience

  • Ability to read, comprehend and follow instructions

  • Excellent written and verbal communication skills

  • Strong critical thinking skills

  • Excellent diligence and service

  • Proficiency with Excel and other Microsoft Office products

  • Ability to quickly learn and retain database knowledge

  • Proficiency with equipment such as computers, telephones, printers, scanners, and copiers

  • Ability to work independently, take initiative, set priorities, and complete projects as assigned

  • Ability to meet deadlines, manage multiple tasks, and respond to changing priorities and processes

  • Ability to work with a diverse range of people as a team member and across the firm
