Travel Operations Coordinator, Senior (AN)

The Travel Operations Coordinator, Senior, will be based at the Baghdad Embassy Compound (BEC) or the Baghdad Diplomatic Support Center (BDSC) and serve the Operations and Maintenance Support Services (OMSS) and Baghdad Life Support Services (BLISS) contracts in support of the U.S. Department of State. The position will be responsible for assisting the Travel Supervisor in coordinating, directing, and controlling the Amentum charter travel operations, to include intra-theater ground and/or air movements, which support Amentum direct hires and Amentum subcontracted personnel in Iraq. The Travel Operations Coordinator, Senior, is part of a collaborative team responsible for implementing personnel movement initiatives and will be one of two main points of contact (with the Travel Supervisor) for the Department of State OPMED charter coordination team for the DOS charters. The duties and responsibilities listed below are representative of the nature and level of work assigned and are not necessarily all-inclusive. This position will report to the Travel Operations Supervisor.

DUTIES :

  • Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.

  • Comply with all Environmental Health & Safety and Quality Assurance requirements and goals. Provide information and materials to these divisions as necessary to ensure adequate and legal documentation.

  • Coordinate and communicate travel needs with employees, Site and Program Management, Amentum’s Dubai Travel team, Amentum Subcontracts, and the charter subcontractor on a regular basis.

  • Communicate & coordinate with the Protective Security Detail (PSD) ground movement subcontractor as required to transport inbound and outbound charter passengers between BEC and BDSC.

  • Work with Embassy Air to manifest personnel on helicopter movements between EHP and BDSC for BEC and Union III personnel who are manifested for follow-on movement to Amman or returning from Amman to Baghdad.

  • Create and maintain manifests for inter-theater Embassy Air movements and communicate any changes in manifesting with Embassy Air.

  • In the Travel Supervisor’s absence or at the Travel Supervisor’s direction, act as the primary point of contact with Department of State charter coordinators, including RSU Amman Travel, in scheduling Amentum PAE personnel and subcontractors on DOS OPMED charters.

  • Work with the Travel Supervisor to create and maintain charter concepts of operation and work with DOS for approval as directed by the Travel Supervisor.

  • Receive travel requests from department and site leads and maintain a rolling roster of eligible personnel using the “first in / first out” method of scheduling.

  • Submit commercial ticketing requests to the Dubai Travel team, receive confirmed tickets and review against passenger’s TRAF to ensure ticketing is accurate. Relay ticketing information and travel instructions to both inbound and outbound personnel.

  • Coordinate with HR and Safety personnel in ensuring demobilizing personnel or those with medical or personal issues are manifested on the next available charter.

  • Be familiar with all travel policies and processes and clearly communicate those to an international workforce.

  • Liaise with Amentum’s ESH Manager and site medics to schedule COVID-19 PCR testing for outbound passengers as necessary.

  • Produce manifests and various reports as needed/requested by program management.

  • Review subcontractor invoices (charter, COVID testing, and PSD support) for accuracy.

  • Create email communications for inbound and outbound passengers for Travel personnel to disseminate accordingly.

  • Perform additional duties as needed by program and site management. This many include intra-theater travel coordination, assisting with billeting, auditing files, preparing documentation and reports, submitting site access and badging requests, and other duties as assigned.

REQUIRED :

  • Minimum Acceptable Experience Level:

  • Two (2) years’ experience supporting personnel movement.

  • Three (3) years’ experience in a position requiring a high volume of multitasking and/or coordination across multiple sections.

  • Knowledge, Skills, and Abilities:

  • Proven ability to work in a fast-paced environment that requires handling multiple tasks at a given time and rapidly adapting to changing priorities and schedules.

  • Ability to monitor and consistently meet deadlines.

  • Excellent organizational, time management, and critical thinking skills.

  • Must be detail oriented to perform accurate data entry and tracking of travel requests.

  • Commitment to deliver customer service excellence.

  • Ability to maintain confidentiality for sensitive matters.

  • Proficiency in Microsoft Office software, specifically Outlook and Excel.

  • Ability to resolve conflict directly and productively.

  • Knowledge of principles and processes involved in supporting contract responsibilities at an overseas facility.

  • Cross-cultural sensitivity with an international perspective.

  • Ability to be innovative and an agent for change.

  • Expert oral and written communication skills to facilitate and disseminate information to an international audience.

  • Education:

  • Minimum of a high school diploma or GED.

  • Licenses and Certifications:

  • Valid driver’s license from Home of Record.

  • Security Vetting:

  • Already possess a US Government-issued secret security clearance or be able to obtain a secret clearance prior to being hired. Must maintain eligibility at the required certification or clearance level for the duration of the contract.

  • Language Skills:

  • Superior English proficiency to meet job requirements, communicate with various DOS personnel, and all levels customers, from entry-level workers to senior corporate officials. Must also be able to adhere to and comply with safety, health, and security measures/protocol.

  • Medical:

  • Successfully complete and pass the medical and dental examinations as required by Amentum PAE and our customer for deployment to Iraq. Must maintain physical and dental requirements for duration of deployment.

DESIRED :

  • Completion of a 4-year college/university degree.

  • Previous out-of-home-country experience is highly desirable and previous work experience in harsh environmental conditions.

  • One (1) year experience supervising or managing personnel.

  • Experience working with Amentum.
